Integrated CRM solution helps Admissionado streamline processes, improve productivity

The admissions process for top undergraduate and graduate programs is highly competitive, with thousands of people applying for a handful of spots at elite universities around the world. Standing out from the crowd requires more than just high test scores—it requires applications that resonate with admissions offices. 

Admissionado is an admissions consulting firm that helps candidates create memorable profiles that help them secure admission to the top programs in the world.Admissionado was the brainchild of Jon Frank and Raj Patil, who originally opened a small admissions consulting firm called Precision Essay in 2007. Over the next few years, Frank and Patil steadily grew their business—ultimately creating a company that is now a global leader in application consulting with offices in the U.S. and China. Today, Admissionado has 50 consultants and hundreds of new clients each year that are applying to all types of higher education programs, including Masters, PhD and Undergraduate.

Maintaining a personal touch

As the business grew, management determined it was time to automate many of its processes. However, they needed to ensure their competitive advantage was maintained —providing a professional, yet personal, touch to all their clients.

In establishing Admissionado, our founders wanted to create an elite one-on-one service that was unlike other firms in the application consulting industry,” stated Lauren Herskovic, Director of Operations. “For Admissionado that means creating strong personal connections between our consultants and their clients—everything from personalized mentoring and school selection consulting to the customized emails sent to each client.”

To better support their clientele, Admissionado chose to deploy a Salesforce.com customer relationship management (CRM) solution. The plan was to use this CRM platform to improve client interactions, streamline marketing and sales activities, and automate some of their manual processes.

Unfortunately, Admissionado found that they weren’t getting as much out of the platform as they had hoped. So they turned to OSF Global Services to customize their Salesforce solution and integrate the CRM environment with their accounting software.

Building an integrated solution

Working with a list of requirements set by Admissionado, OSF’s certified Salesforce.com developers began building the customized Salesforce solution using technologies such as the VisualForce web-based framework, APEX and PHP programming language. The OSF team also integrated Salesforce with the company’s Freshbooks invoicing system in order to streamline Admissionado’s accounting practices and create a more automated payment notification process.

The development process included a close collaborative effort between OSF developers and Admissionado’s in-house team. Designs were shared with Admissionado personnel throughout the process and approved before development work was initiated. This ensured that the final design would match the requirements and that there would be no delays in implementing the solution.

The result is a solution that has helped Admissionado streamline its processes and improve productivity. “Everything we asked for in the solution was achieved through OSF,” explained Herskovic. “Through this automation, we have seen a 50 percent drop in the manual steps we previously had to take when using Salesforce. We’ve also been able to take advantage of other functionality in the CRM, like ‘Opportunities,’ which has improved our overall efficiencies.”

In addition to the development work, OSF Global Services has continued its partnership with Admissionado by providing ongoing support to the company.
